Advance Work:

 

  • Budget Creation - Hauck staff will work with association leadership to develop a pragmatic budget
  • Site Selection - Hauck staff manages over 100 meeting annually and maintains excellent relationships with several major hotel chains. Rest assured your association will be receiving best possible hotel rates.
  • Contract Negotiation - Hauck is able to utilize it's leverage through booking several meeting throughout the year to ensure contracts put our clients in favorable positions for a successful conference.
  • Room Block Management - We will monitor room reports and report back to association leadership regularly. Hauck staff will also make recommendations when needed regarding increasing and decreasing sleeping rooms. 
  • Registration Management - We are well-versed with several different registration platforms
  • Speaker Management - We handle from the selection process and confirmation all the way up to the podium

During Your Event:

 

  • Interface with hotel/event Staff during entire event - We are on the ground to work directly with the hotel to allow association leadership to be present at the conference
  • Registration desk staffing - Hauck staff will be available at the registration desk during the day and available throughout the conference to assist attendees maximize their conference experience
  • Session Room Set-Up - We will be in the session room to ensure a successful set-up
  • Interfacing with speakers - Assist with AV needs, get a bottle water, assist in loading presentation, we have it covered
  • Exhibit Management - We will work with exposition company throughout registration process, confirm exhibition hall is set-up correctly and assist all exhibitors move-in/move-out and develop create ways to drive as much traffic as possible during the conference

 

After Your Event:

 

  • Post-Event Evaluation - attendee, speaker, exhibitor surveys results will be shared with association leadership in timely manner
  • Financial Reports - a comprehensive review of all facets of the conference will be shared with association leadership
  • Thank You Notices - A final touch to a great event. Hauck will send out thank you notes to key hotel staff, speakers and other individuals that assisted in making conference a success
  • Provide recommendations for future events - Hauck will provide oberservations and recommendations with planning committee and leadership
